New hires can be required to fill out and upload an I-9 form as part of their onboarding process. It is recommended to keep a copy of the form and all associated IDs provided. These are stored within the Onboarding system and can be found under View Employees.

Complete Employer Side
On the View Employees page, select the Employees tab.
For new hires who have submitted their I-9 forms, you will see a link to Complete Employer Side.
On the screen that pops up, you will be able to see the documents that the new employee has submitted. Select the link (A) to preview the document that has been submitted.
If you need to see the list of acceptable documents, select the link under “See here for more information on acceptable documents” (B).
You may also preview the I-9 form (C) completed by the employee.
Accepted Documentation
If you are satisfied with the documentation provided, select Accept Document.
This will prompt you with a form that will require you to enter the information provided, including:
- Document Title
- Issuing Authority
- Document Number. (Enter the number exactly as it appears on the submitted document. If there is no number available, enter “N/A”)
- Expiry Date (note that already expired documents are not acceptable. If there is no expiration date, select the checkbox stating so).
Enter any additional information required for this document as specified on the I-9 form. If you chose an alternate procedure authorized by the Department of Homeland Security (DHS), indicate it by selecting the checkbox.
Below this, you will see a form pre-filled with information associated with your account. Verify and/or correct the information, and then
- Enter a verification date
- Electronically sign the form.
When all is set, select Save.
Insufficient Documentation
If the information is insufficient, you may select Reject Document. You will be prompted with a screen asking you to provide the new hire the reason it was rejected and it will send a message to them. The new hire will now reappear on the View Employees page on the Onboarding tab until the new hire submits it again.
