Heartland Product Questions
Payroll: I’m new to Heartland and want to learn more about my payroll account.
No problem! We have an entire section of our Help Center dedicated to payroll. We offer a training video you can watch at your convenience and a user guide to get you started. In addition, our Payroll+ Help Center is organized to follow your payroll account so you can easily find articles as you have questions.
Heartland Time: I’m using Heartland Time for my time recordkeeping; where do I find more information?
We also have a section of our Help Center for Heartland Time! You’ll find over 30 videos that cover our time & attendance solution, quick start guides, user guides for employers and employees, and dozens of articles covering setup, customization, and preparing for payroll.
Heartland Hire: We use Heartland Hire for our Applicant Tracking (AT) and Onboarding. What resources are available?
The Heartland Hire section of our Help Center covers the customization and features of your selected services to enable you to streamline these tasks. Heartland Hire also features add-on services such as background checks, drug screening, and WOTC (Work Opportunity Tax Credit).
Payroll Specific Questions
Direct Deposits:
- My employee asked about direct deposit instead of a live check. How do I set that up, and are there additional fees for direct deposits?
- How do I set up multiple direct deposits for an employee?

You’ll see various articles such as Direct Deposit: Options Defined which explains the fields in the employee’s profile, as well as adding a new single bank account, adding multiple bank accounts, and how to view/edit current banking information.
Direct deposit is no additional charge; we want to ensure the employee is paid on time.
Printback (Paperless) / Printing checks in-house: My specialist said I was a Printback client; I am unsure what this means, and it's payday!? Where do I go to print my employees’ live checks?
Printback is our term for clients that prefer to print checks in-house rather than Heartland printing and shipping. You will not receive a physical package and are responsible for printing live checks, reports, and direct deposit vouchers/pay stubs as applicable.

Updating Employee Deductions:
I need to change my employees' deduction amounts. How do I do that?
For changes that are effective moving forward, check out Recurring Deductions on the Help Center. You will want to make those updates in your employee’s profile.
If you need to override a deduction for one payroll, reference our article One-Time Overrides for Earnings, Deductions, and Taxes, as you will override the deduction when entering payroll in the payroll grid.
Set up new Employee Earnings or Deductions:
I would like to add a new earning or deduction to my account. What do I need to do?
We customize every account and can set up new earnings or deductions for you at any time. Please contact your Payroll Support Team and provide them with the information, including the taxablity. Once we add the new earning or deduction to your account, you’ll be able to set it up on your employees.
Tracking Time Off or Sick Leave: (Accruals)
- I have an existing company PTO plan. How do I set up the accruals and tracking?
- We have to follow our state's mandatory Sick Leave laws. Are you able to set this up?
