Overview
This article explains how to set up and use of the Paytronix Loyalty Service. If you have questions regarding the features described in this document, please contact Heartland Restaurant's Support Department by email (Earlyaccess@heartland.us) or phone (1-833-844-HPOS).
Basic POS Configuration
In order to configure Heartland Restaurant to use the Paytronix loyalty service, be sure you have access to the required information:
- Each account must have a dedicated Merchant ID, provided by Paytronix.
- The Merchant ID number must be enabled for both Heartland Restaurant POS and Online Ordering.
- For each location within the account, you must also set a Subdomain, Template Card, and Template Code.
Configure the Account to Use Paytronix
To configure Heartland Restaurant, select the desired account, and access its Loyalty Setup screen, as described here:
- In the Main Menu, select Accounts, then select an appropriate account.
- In the account's main screen, click Loyalty Setup in the Main Menu.
- In the Loyalty list, select Paytronix.
- In the Locations Settings area, enter the necessary settings for the Paytronix transport.
For each location, you must set a generic loyalty store code. - Click Save.
Configure the Location Settings
- In the Main Menu, click Location Setup, then click Settings.
- In the Advanced Settings area, enter a valid code in the Generic Loyalty Store Code box.
- Click Save.
Configure Paytronix as a Gift Option
You can configure the program to use Paytronix as a Gift option.
- In the Main Menu, click Location Setup, then click Payment Gateway.
- In the In-Store Settings area, select Paytronix in the Gift Card list.
The Admin Console will display the Paytronix Merchant ID and Paytronix Store Code boxes. In these boxes, you can enter the merchant ID and store code for the location using the Paytronix gift card service. - In the Paytronix Merchant ID box, enter the location’s merchant ID.
- In Paytronix Store Code box, enter the location’s store code.
These controls enable you to set a site to use the Paytronix service for gift cards while using another service (such the Heartland Restaurant) for loyalty. - Click Save.

Identifying a Paytronix Loyalty Member
In the POS, in a ticket’s Info screen, you can associate a new ticket with a loyalty customer in three different ways:
- Enter the customer's phone number in the Phone box.
- Swipe the customer's loyalty card on an unencrypted card swipe device.
- Manually enter the customer’s loyalty card number in the Alternate ID or Card Number box.
After associating the ticket with a loyalty customer, tap the blue person icon (to the left of the Phone box) to view information about reward points, available rewards, and any available stored dollar value.
Applying Loyalty Rewards in the POS
Once you associate a ticket with a loyalty customer account, the customer can redeem available rewards. If the customer has any rewards applicable to the order, the app will display the Medal icon on the Discount button (if it applies to a specific item) or the Checkout/Adjust buttons (if it applies to the overall ticket).
For example, a reward for a “free item” or “50% off one item” would display on the Discount button, while a reward for a “20% off” or “50% off” an entire ticket would display on the Checkout/Adjust button.
When you tap Adjust or Discount, the POS displays any available Paytronix rewards. Usually they display in a unique color that differentiates them from the other options.
Tap a reward to add it to the ticket or item on the ticket.
The reward will not be redeemed until you submit the order. If the order is never placed, but the reward is redeemed, the POS will automatically undo the reward redemption after one hour, thereby restoring the reward to the customer’s account.
Inquiring a Paytronix Gift Card
- Access an open ticket associated with a loyalty customer.
- Tap Checkout.
- Tap Gift.
- Swipe a valid loyalty card.
or Manually enter a valid loyalty card number. - Tap Inquire.
The POS will display the details of the customer’s loyalty account.
Paying with a Paytronix Gift Card
- Access an open ticket associated with a loyalty customer.
- Tap Checkout.
- Tap Gift.
- Swipe a valid loyalty card.
or Manually enter a valid loyalty card number. - Tap Redeem.
The POS will display buttons representing all of the customer’s available reward options. - Select an appropriate reward.
Using Paytronix on the Online Ordering Website
Signing in to Paytronix Account \ Managing Paytronix Account
In the Online Ordering website, customers can log in or create a new Paytronix account (linked to their loyalty card) by accessing the menu in the top right corner.
If a customer clicks Login or Create Account, the program will access a Paytronix-hosted webpage. This page can look different on different accounts since Paytronix offers some customization of these pages. Example images below of a specific site.

The Home page displays all three options available on the Paytronix hosted page.
After logging in or creating a new account, the webpage will redirect the customer back to the Heartland Online Ordering site. From there, the customer can place an order or view their account details by tapping the person icon (top right) and selecting My Account.
This page opens another Paytronix hosted webpage with additional options.
Account Balance: This page displays the customer’s account information, such as any available gift card rewards, stored value (gift card funds), and current point balance. In the right-hand area, it also displays the customer’s name, loyalty card number, card type, loyalty tier, and email address.
Edit Account: This page allows customers to edit personal information and loyalty settings, and enables them to change their passwords.
Communication Preferences: This page allows customers to configure settings for the emails they receive with special offers for the site via Paytronix.
Transaction History: This page displays a list of recent loyalty and gift card transactions, such as inquiries, reward accruals and redemptions, reward expirations, and other transactions.
Using Paytronix Rewards on Online Ordering Websites
Once customers have logged into Paytronix and are redirected to the Online Ordering website, they can place an order and tap Checkout. The Checkout screen will include the Add Reward button (under the Order Preview). If they tap Add Reward, the website will display a list of available rewards for them to redeem.
Additional Notes
- Loyalty accrual occurs once the ticket is closed on the HRPOS system.
- Call Center will automatically look up the phone number on the ticket to find any linked accounts. If an account is found, the Call Center employees will have access to apply applicable rewards to the order.
