Payroll → Payroll Settings
This article details the Time Entry Grid options and modifications, including hourly and dollar limit warnings, creating time entry grid template(s), and where those warnings appear when entering payroll data.
Time Entry Options by Pay Group
Payroll → Payroll Settings → Time Entry Options
The Payroll Settings menu displays the Time Entry Options. You can adjust your settings to fit your needs.
Time Entry Template: Select the preferred template when entering payroll. The template can also be switched as needed in Time Entry by selecting the Change Template link. For example, you may wish to default to your Regular template, but you may change the template multiple times when entering payroll if you need to bring different columns in view.
Average Overtime Weeks: (Optional) Designate your overtime standards. Contact your Payroll Support Team if you have questions.
Time Entry in Minutes: Toggle this to Yes if you prefer to enter your payroll in a Minutes format instead of a Decimal format.
💡 When Time Entry in Minutes is toggled to Yes, the decimal portion of any hours keyed or imported will be treated as minutes. For example, 8.45 would be treated as 8 hours and 45 minutes and converted to 8.75 hours when the payroll is processed.
Minute to Decimal Conversion Chart
When Time Entry in Minutes is toggled to Yes, the data entered in the Time Entry Grid in Minutes will convert to a minutes:hours format. Use the chart below to assist you in the conversion.
Time Entry Warnings by Pay Group
Payroll → Payroll Settings → Time Entry Options
You can enter specific maximum dollar and hourly amounts that, if exceeded, will display a Red Flag in that cell. We recommend entering an amount that is greater than your regular payroll. For example, a bi-weekly payroll with normal working hours being 80 could be set at 81 maximum hours. If you enter hours that exceed 81, a Red Flag warning will appear so that you can review it before proceeding. This prevents costly mistakes before they happen.
💡 These are only warnings to keep you informed, and they will not prevent the employee from being paid.
Maximum Dollars Warning: Input a dollar amount that, if exceeded, will result in a Red Flag warning.
Maximum Hours Warning: Enter an hourly amount that, if exceeded, will generate a Red Flag warning.
Maximum Net Pay Warning: (Not commonly used) Input a Net Pay amount that, when exceeded, will generate a Red Flag warning.
Maximum Rate Warning: (Not commonly used) Input an hourly rate that, when exceeded, will generate a Red Flag warning.
Customizing your Time Entry Template with Time Entry Options
Payroll → Payroll Settings → Time Entry Templates
You must have a Template selected from the dropdown for the warnings to display.
Example of Time Entry Maximum Warnings:
Below is an example of the Dollar and Hour maximum warning limits and what you’d see when entering payroll data that exceeds these limits. In the payroll system, you can hover over the Red Flags in each cell to see an explanation of the warning.
💡 The employee will still be paid even when the Maximum Warning Limit is exceeded. The Red Flag is simply there to notify you that the hours or dollars are outside of the norm so that you can make changes if needed.
