Overview
This article describes how to apply appropriate permissions to staff members that must access and use the Heartland Restaurant Admin Console. You can configure permissions for Admin Console users in the User Permission screen. This is not the same Permission screen used to configure permissions for POS users; that screen is available in the Main Menu, under Location Setup.
Creating & Assigning a User Permission Level
Creating a Permission Set
- Log into the Admin Console and access the appropriate account.
- In the Admin Console’s Main Menu, click Users, then select Permissions.
Admin Console User permissions are accessible at the account level. - In the User Permissions screen, click New to make a new permission set.
- In the Name box, enter a descriptive name for the new permission set.
- Go through the list and select the check box of each permission that you wish to include in this permission set.
- After you have selected all desired permissions, click Save to save the changes.
Assigning a Permission Set to a User
- In the Admin Console’s Main Menu, click Users, then select Users.
- In the Users screen, select an existing user in the list.
- To give this user permission to access all features in the Admin Console, select the Admin check box.
If you select the Admin check box, the program will not display the Permissions list. - To associate this user with a specific permission set, click the Select a Location list (under Permissions) and select a location whose settings and data the user will be accessing.
When you select a location, the program displays an accompanying Permissions list, which includes all permission sets you have defined in the User Permissions screen. - In the location’s Permissions list, select an appropriate permission set for the user.
- If the user will access the data of additional locations, repeat steps 4 – 5 until you added all locations and permissions to the user’s settings.
If your account has multiple locations, you can give a user access to the data one or more locations and (if necessary) apply a different permission set for each location. - Click Save to save the changes, then click Publish Changes to publish the new settings to the various locations.
User Permission Matrix
If a user does not have permission to access the screens under a section of the Main Menu (such as Location Setup), the user can still navigate to and view those screens. However, the controls in those screens will be inactive for the user.
Below is a list of areas that each permission grants access to edit when selected.
The Publish Changes permission will only allow or withhold the ability to publish changes to a location.
