Employees → General → Hire Information tab
There is a section dedicated to Employee Hire Information at the employee level where you can adjust specific dates and enable Employee Self-Service.
Hire Information - Employee Navigation
- Navigate to the next employee in your roster by selecting the back and forward arrows.
- Return to the employee list by selecting the View List option at the top of the page.
Employment Information - Hire Information tab
Hire Date: the day employment began (first day of work).
Adjusted Service Date: the employee’s adjusted hire date or effective date. Commonly used for rehires, to base benefits and/or accruals on a date other than the rehire date.
Employee #: the number associated with the employee used as an import identifier. It will populate the next available, or you can use a number that matches a timekeeping or POS system to streamline your recordkeeping.
Employment Category: Full-Time, Part-Time, Seasonal, Temporary. Contact your Payroll Support Team if more categories are needed.
Timeclock ID: 3rd Party Timeclock identifier used for importing time.
Include in Next New Hire Report: includes the employee in reporting new hires to states.
Status: Active, Inactive, or Terminated.
Other Employee Information - Hire Information tab
SSN: Social Security Number will be masked by default. Toggle to view the number in its entirety.
Update SSN: This option will open a new window, allowing you to change the social security number.
SSN Verification Status: Verifies the SSN through the Social Security Administration, but it does not confirm that the person is eligible to work in the United States. This service is available at no additional cost; verification is an email confirmation.
Request Verification: Select if you want the SSN to be verified with the Social Security Administration.
Work Email Address: Enter the email the employee would like to use to access Employee Self-Service. Personal email addresses can be used in this field if preferred.
- Employee Self-Service allows employees to view their information, paystubs, and W-2s. It is accessed on a desktop, mobile device, or the Heartland Payroll+ Mobile app found on iOS and Android app stores.
Suppress Pay Stub Email Alert: The employees receive an email on the check date. Toggle this feature to Yes if you do not want the pay stub notification to be an email alert.
Enable Self-Service Access: Toggle this feature to Yes to activate the Employee Self-Service portal for this employee.

I9 Completed?: If you utilize Heartland Hire, the data will import automatically, or this optional field can be manually selected.
