You may use Employee templates to create a standard method for employee management. The rules in the templates can be applied to many people with a similar setup and roles.
Creating the Employee Template
To access employee templates, go to Administration and click on Employee Templates.
To create an employee template, click on the blue “Create Template” button on the upper right.
Enter a Template Name and description. You can choose to leave it disabled or you may enable it. This can always be edited later, by clicking on the edit icon:
You can then construct an employee template based on existing other pre-created templates. For instance, for managing time sheets, where you can choose templates for any of the following:
- Timesheet Template
- Timesheet Approval Path
- Timesheet Period
You can then automatically generate a time clock PIN code
You can assign jobs:
You can assign breaks:
Next, you can assign Pay Rules and Rates to a template, including any shift premiums, job-based pay rates, and piecework-based pay rates.
If an employee needs a specific job-based pay rate, under this section, click on Assign job specific pay rate.
A popup window will appear. Enter the job, and the pay rate. Click Save.
Similarly, if a person is paid for a piece-rate, you may click on Assign pieces specific pay rate. This will provide a window where you must select a specific piece from the dropdown, and then enter the rate:
It is also possible to add Time off policies, and shift schedules with their respective approval paths.
Assigning an Employee to a Template
To use a template for a specific employee, go to Administration – Employees and select the employee you wish to update. Then choose the Time and Attendance tab and select Assign a template.
Select the desired template, enter an Effective Date, and click Save.
You can then review the various settings that were set according to the template, by viewing the tabs on the left. You may see a summary of all of the settings on the Overview tab, and you may see more details on each of the other Timesheets, Pay Rules and Rates, Time Off, and Shift Schedules to see how these settings have been applied.
