Access Timesheet Blocks by navigating to Administration - Timesheet Settings.
Creating the Template
To add a new template, select the Add Template button. To edit an existing template, select the edit icon next to the relevant template.
Select the Timesheet Blocks tab.
From UI Blocks on the left, drag the Punch Time Entry widget into the Timesheet Template Preview section in the middle of the screen.
Configuration
Punch Time Entry
If you wish to Allow Punches from the Web, select the relevant toggle switch.
If you want to be sure employees are logging their information from a specific location, you can choose Restrict Punches by IP Address and enter the IP address or range in the input box. You can specify by range by entering this range using a hyphen. (For example, 1.1.1.1 – 1.1.1.45). You may add additional ranges by selecting the Add button.
If you wish to allow users to use their mobile device to punch in, select Allow punches from mobile.
Data to Collect
You may specify required or optional data which will appear on the associated employees’ timesheets in this section. Users will be prompted to include this information when performing any of the associated actions. Data collection can be associated with:
- Punch In
- Punch Out
- Break
- Resume
- Transfer
To choose data to collect, select the Add New Field link, and select which custom or group field to add.
Then specify whether you wish this data to be required for timesheet submitting, or if it is optional:
Photo Capture
You have the option of requiring employees to take a photograph when punching in. If you wish to do this, select the respective toggle switch for
- Mobile
- Clock
Location Capture
With the respective toggle switches, you can choose to require
- Location tracking Required from Mobile
- Enable Continuous Tracking – this will enable identifying where employees are by tracking their phone location. If this is toggled on, you can specify the distance in meters you wish to allow.
Enforce Schedule
If you wish to ensure that employees are only logging time that has been scheduled, you can choose the Enforce Schedule toggle switch.
You can allow employees a little bit of leeway if they clock in earlier than their scheduled shift. Specify the number of minutes you wish to allow for Early clock in.
Jobs
If you are tracking different jobs that employees are working at, you can specify whether time capture is required, optional, or you can disable this functionality, using the drop-down menu.
Breaks
Specify how you want to handle breaks on your timesheets. You can
- Manually Capture Breaks
- Enable Automatic Breaks. If this option is selected, you can choose whether to
- Reduce break duration to maintain clock out time
- Reduce break duration to maintain clock out time and break duration
- Extend clock out time to insert break.
- Specify rules as to the length of the break and whether to automatically insert time as either a Meal break or a Paid Rest Break. (Note that this may be required in certain locations).
- Enforce Minimum Break Duration
- Specify the minimum number of minutes for Meal Breaks or Paid Rest Breaks. (Note that this may be required in certain locations).
- Enforce Maximum Break Duration
- Specify the maximum number of minutes for Meal Breaks or Paid Rest Breaks.
Rounding
Here you can set rules for punch rounding. You can set different rules for
- Clock In
- Break
- Transfer
- Clock Out
You may specify whether to round up or down, or to the nearest number of minutes specified.
For Schedule Based Rounding, you can specify whether to round up to shift start time for employees who clock in early. Specify how many hours forward you wish to snap the hours to in the future.
For employees who clock in late, you can round down to the shift start time within a specified number of hours.
You may also do the same thing for employees who clock out early or late.
Additional Settings
Here you choose to Allocate Time to Days by
- Splitting time across work days.
- Allocate all shift hours to the shift start day.
- Allocate all shift hours to the shift end day.
Set the Maximum Work Segment Length (in hours).
Set the Maximum Break Segment Length (in hours).
Specify if you want to display time off information on the timesheet.
Employee Permissions
Here you limit whether employees are allowed to add, edit, or delete punches. You can set it to not allow any updates, allow editing of everything except date and time, or you can allow employees full permission to add, edit, or delete punches.
You can select Save to continue working on the Timesheet Template, or if you are finished, select Save & Publish to make the timesheet template available for use and assigning to individual employees.
