Store and Forward (SAF) is a method to accept credit or debit cards without being connected to a communication source. While in SAF mode, a credit card sale transaction receipt prints without an authorization code. The transaction is stored in the terminal’s memory. To receive payment for transactions accepted, disable SAF mode and the terminal will connect for authorizations. Transactions declined are not paid.
Important: When communications fail, using SAF processing is not considered to be the best practice. If you experience communication issues, take a manual imprint of the card. Call for voice approval while the customer is present. Then use the terminal to enter the transaction as an Offline Sale.
Requirements
The requirements are in place to reduce the risk associated with SAF processing:
- The Owner/ Officer who signed the original agreement with Heartland Payment Systems must sign the Store and Forward Authorization Agreement Letter.
- The batch must be authorized and closed within 24 hours of the first card swipe.
- A manual imprint of the card is required for SAF transactions.
- Review the Operations Policy 184.0 Store and Forward Approval Policy.
Risks
Important: If you use SAF mode, you are responsible for losses incurred.
SAF mode transaction processing has major risks:
- Deleting Transactions: The transaction is stored in the terminal only. If the batch is deleted, all SAF transactions are lost with no chance of recovery. Take a manual imprint of SAF transactions to limit this risk.
- Unable to Receive Payment: If the SAF transaction declines and the customer has taken the product, you may not have a way to receive payment.
- Chargeback Potential: If an electronic authorization and settlement are not done on the same calendar day as the transaction, there is a high potential for loss due to chargeback.
Enable Store and Forward
- From the main screen press 5 for MNGR.
- Press 5 for Next.
- Press 1 for STORE & FORWARD.
After the option has been selected the terminal will return to the idle screen.
Disable Store and Forward
- From the main screen press 5 for MNGR.
- Press 5 for Next.
- Press 3 for SET SAF MODE.
- Press 1 to turn store and forward mode OFF.
After the option has been selected the terminal will return to the idle screen.
Authorize Store and Forward
- From the main screen press 5 for MNGR.
- Press 5 for Next.
- Press 2 for BATCH AUTH.
The terminal will attempt to authorize transactions. Receipts and a report prints for the authorized and declined transactions. Settle the batch of transactions. Then disable SAF mode.
