When a new Employee is going through the onboarding process, they will be required to submit documents such as:
- Identification documents
- Completing and signing NDAs
- Tax documents
Documents can take two forms: ones required from the Employee, the other from the Employer. The documents employees must submit is determined by their Onboarding Package. For more information, see How to Create Onboarding Packages and How to Customize Onboarding Packages.
Viewing Employee Document Status
To view an Employee and their documents:
- Select View Employees from the left navigation panel.
- To view Employees currently being onboarded or have been hired, select Onboarding or Employees. The documents required and uploaded will be displayed:
- Documents that have been uploaded by the Employee are labeled with a check mark.
- Documents that have not been uploaded by the Employee are labeled with a X.
- Documents that have been uploaded by the Employee, but require the Employer complete information, are labeled with the Employer Action Required icon .
Download Employee Documents
To download documents that Employees have uploaded:
- Select View Employees from the left navigation panel.
- To view Employees currently being onboarded or have been hired, select Onboarding or Employees.
- Select View Details for the Employee to view.
- Select Documents from the top menu.
- Select Download for each document to download.
Complete Employer Required Documents
Documents that require Employers to complete are labeled with the Employer Action Required icon . To complete processing these documents:
- Select the document to be verified.
- The documents submitted by the employee will be displayed.
- Select the submitted documents to review them.
- If the documents can be accepted, select Accept Document. Otherwise, select Reject Document.
AutoPopulation
Documents may be automatically populated with Employer and Employee information to save time. For example, the I-9 form will automatically populate with the Employee's first name, last name, and middle name if they have included it.
- IMPORTANT NOTE: If the Employee has no middle name, the Employee can confirm and N/A will be entered instead.
