The Job Application Form Builder provides a drag and drop method for building your job applications. You don’t have to worry about the underlying code or how information is stored - just drop in what you need, and let the Job Application Builder do the rest.
Open the Job Application Form for Editing
Job Application Forms can be edited when:
- A new Job Application Form is created. For more information, see How to Create a Job Application Form.
- A new Job Application Form is copied from another Form. For more information, see How to Copy a Job Application Form.
- An existing Job Application Form is opened by selecting the Edit icon:
Building the Application
Let’s start with the blank form that we created in the last section. You will see a blank canvas.
Field Types and Attributes
Fields have different types and attributes. These can be updated at any time once a field has been added to the Job Application Form.
Section
There are a few standard sections which are common on many applications, such as personal information (name, address, etc.), educational history, employment history, and references.
The Section field is a container for other fields and sections. Each section contains the following attributes:
- Preset Section: Sections can be generic and include the fields you manually add to them, or you can select preset sections to quickly create the application. IMPORTANT NOTE: When a section is set with the preset settings, all existing fields will be replaced.
- Education: Used to request the education history for the applicant.
- Employment History: Allows the candidate to list their previous employers, time employed, etc.
- Personal Information: Requests the applicant fill in their name, address, and other common fields.
- References: Provides the applicant the ability to list their personal and business references.
- Section Name: The name of the section displayed to the applicant.
The application builder makes it easy to create a few of these with just a few clicks. Drag the block from the top left onto the screen and set the attributes on the right. We’ll add one of each of these sections here.
Text Input
The Text Input field provides applicants the ability to add a single line of text. It includes the following attributes:
- Label: The name of the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Sensitive Data: If marked as Sensitive Data, information will be hidden in the Applicant’s Profile. It will still be available when the PDF is downloaded.
- Length: The length determines the width of the field. Each unit is equal to 25% of the width of the application. For example, selecting 1x will span 25% the width of the Application, and 2x will span 50% the width of the Application.
- Validation: If selected, the text field is verified against one of the selected options. Applications cannot be submitted if an entry does not match the selected Validation type. Validation types include:
- Date of Birth
- Digits
- Phone Number
- Postal Code
Text Area
The Text Area field allows multiple lines of input. This can be useful for requesting a detailed explanation of project performance, examples of previous experience, etc. The Text Area field includes the following attributes:
- Label: The name of the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Rows: The minimum number of rows the Text Area displays by default. IMPORTANT NOTE: Applicants can resize the text area field when viewing the application. This does not effect the Job Application itself.
Multiple Choice
The Multiple Choice field allows you to provide a question with one or more responses, such as “Have you worked with the following applications?”.
Multiple Choice fields have the following attributes:
- Label: The name for the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Knockout Question?: This highlights the field to show applicants how important it is. If this setting is enabled, you can select which answer will automatically disqualify an applicant and end the application process, with the option of sending an email to the candidate letting them their application is rejected.
- Choice Type: The Choice Type determines if the Multiple Choice field allows candidates to select a single answer or multiple answers.
- Length: The length determines the width of the field. Each unit measures 25% of the width of the application (for example: selecting 1x will span 25% the width of the Application, 2x will span 50% the width of the Application, etc).
- Choices: The possible answers to the field. To add more choices, select the plus icon. To remove a choice from the list, select the X icon.
Dropdown List
The Dropdown List field provides a list of options a candidate can select from. Only one option can be chosen. The Dropdown List field includes the following attributes:
- Label: The name of the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Knockout Question?: This highlights the field to indicate its importance. If this setting is enabled, you can select which answer will automatically disqualify an applicant and end the application process, with the option of sending an email to the candidate letting them their application is rejected.
- Preset Options: Provides a preset list of items for the dropdown list. These include:
- US States
- Countries
- Canadian Provinces
- Length: The length determines the width of the field. Each unit measures 25% of the width of the application (for example: selecting 1x will span 25% the width of the Application, 2x will span 50% the width of the Application, etc).
- Choices: The possible answers to the field. To add more choices, select the plus icon. To remove a choice from the list, select the X icon.
Date Picker
The Date Picker field allows candidates to select a date, and includes the following attributes:
- Label: The name of the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Length: The length determines the width of the field. Each unit measures 25% of the width of the application (for example: selecting 1x will span 25% the width of the Application, 2x will span 50% the width of the Application, etc).
Checkbox
The Checkbox is a basic Yes/No choice so the candidate can signify agreement. This field includes the following attributes:
- Text: The text displayed with the checkbox.
- Required?: Whether the applicant must fill out this field before completing the Application.
- Length: The length determines the width of the field. Each unit measures 25% of the width of the application (for example: selecting 1x will span 25% the width of the Application, 2x will span 50% the width of the Application, etc).
Comment Box
The Comment Box is used to display a message to the candidate. No input is required. The Comment Box field includes the following attributes:
- Text: The text that you want to display.
File Upload
The File Upload field allows candidates to upload files such as PDFs, Microsoft Word, and related documents. This can be used to allow candidates to upload a PDF version of their resume or similar documents.
The File Upload field has the following attributes:
- Label: The name of the field displayed to the applicant.
- Length: The length determines the width of the field. Each unit measures 25% of the width of the application (for example: selecting 1x will span 25% the width of the Application, 2x will span 50% the width of the Application, etc).
Signature
The Signature field provides candidates the include their e-signature with their application. The Signature field consists of the following attributes:
- Label: The name of the field displayed to the applicant.
- Required?: Whether the applicant must fill out this field before completing the Application.
Add, Copy and Delete Fields
To add a new field, drag and drop it from the left navigation panel. Fields can be moved up or down the application form, or added into Sections.
To copy an existing field, select the Copy icon:
The entire field, including fields grouped into sections, will be copied.
To delete a field, including fields grouped together in Sections, select the Delete icon:
